The new Regatta Central waiver feature enables athletes to submit their USRowing waiver, on-line, just once per year, covering them for all USRowing-registered regattas utilizing Regatta Central.
Here are some specific details that should address questions folks may have:
- This online waiver is available to all athletes. Individual USRowing membership is not required.
- The waiver uses the athlete's email address as the identifier. The benefit is that once an athlete has submitted his/her waiver, ALL coaches that have that athlete in their roster will see the submitted status for that athlete; not just the coach that submitted the particular entry that first included the athlete in an entry. (Note: for this to work, each coach needs to update his/her roster to include the email addresses of their athletes).
- The online waiver mechanism and process has been approved by USRowing and Bollinger Insurance.
- The RegattaCentral waiver report has been updated to show both the on-line waiver as well as paper waivers you've inputted as received into RegattaCentral. A single, consolidated report allows you to manage the old-fashioned waiver mechanism as well as the online mechanism.
- The on-line waiver supports both adults and minors.
- For privacy reasons the email address of the athletes are not released to anyone, including regattas. Feedback from parents has confirmed that this conservative path was the correct one to take.
Here is an overview of how the process works:
- The coach logs into Regatta Central and clicks the 'SEND WAIVER' link located just above their roster listing.
- Regatta Central will prompt them to provide (or confirm) the email addresses for all athletes in their roster.
- The Coach then select which athletes to send the email waiver. Regatta Central then sends a special, encrypted link to each selected athlete.
- When the athlete(s) receive their email, they click the link and follow the instructions on the webpage.
- Adult athletes are able to submit their waiver at which point they are done and their waiver is submitted.
- Minors (under 18) provide the name and email address of their parent or guardian. Upon submission, the system forwards the waiver link to the parent/guardian, at which time the parent/guardian is prompted to confirm they are the legal parent/guardian and then completes the process.
- When the coach logs back into his/her Regatta Central account they will see a bright, green checkmark next to the athletes that have submitted their annual waiver. Athletes that have been sent the waiver but have not yet submitted it will have 'pending' listed in the waiver column.
- Its important that the coach provides the athletes email address in his/her RegattaCentral roster. We've had a few cases of coach's providing the parents email and this causes confusion since it short-circuits the workflow.
It's also worth mentioning that the Regatta Central roster editor has also been updated and is more usable than the previous version. This page is accessible by clicking the 'Edit' link just above the roster list on the user's homepage after logging in.
If all else fails, you can complete the paper waiver and mail it to us. But we michy prefer you do the on-line waivers.
